    How is your Foreign Domestic Helper’s bio-data screened?

  • At the beginning, candidates undergo basic English testing and personality screening. Our Filipino Maid are interviewed in person by our highly trained consultants in whom skill-testing and situational questions are posed, and past work experience and individual character is explored in detail. An intensive behavioural interview is conducted. And our consultants probe not only into the experience but also the personality of a maid.
  • A Filipino Maid must complete a rigorous application, confirmed FIT by an appointed medical centre, Certified PASS for IMMIGRATION SECURITY CLEARANCE (ISC) and provide us with proof of legal status to work in Malaysia as a Foreign Domestic Helper.

    1. How long does the application process take?

      • Hiring a foreign maid can be accomplished within 2 to 3 months after selecting and confirming a candidate.
      • It is important for us to match employers and candidates the right fit and will not jeopardize the integrity of our screening and arrival procedures stipulated by Immigration Department of Malaysia and the Philippine Overseas Employment Administration (POEA).

        1. What responsibilities do I have as an employer?

      • • As an employer you will be required to submit your maid application with the required documents by the Immigration Department of Malaysia. And to abide the employment contract as per guidelines under the Immigration of Malaysia and Philippine Overseas Employment Administration (POEA) Employment Contract
      • • Make sure that the Foreign Domestic Helper is assigned to domestic chores (not including car wash).
      • • Room amenities / accommodation provided for the Foreign Domestic Helper are equipped with basic facilities.
      • • The Foreign Domestic Helper should be given nutritious food and proper rest, including sleeping time.
      • • Ensure that the Foreign Domestic Helper does not change employment or change employers without the permission of the Immigration Department of Malaysia.
      • • Visa renewal of a foreign domestic helper can be made at the Immigration Office (MYEG) within three (3) months before expiry date.

  • For the purpose of the continuation of the visa or applying for the Check Out Memo, the employer is responsible for:

  • • Keeping payroll records to the Foreign Domestic Helper and submitting to the Department upon request.
  • • The Foreign Domestic Helper should be paid her salary at least in the last week of each month.
  • • The employer is responsible for the medical treatment of the Foreign Domestic Helper during the employment period

  • The employer is responsible for reporting to the Immigration Department if the Foreign Domestic Helper :

  1. • is deceased
  2. • has gone missing
  3. • has absconded from her work place
  4. • has gone for vacation and did not return to Malaysia
  • Employers are not allowed to strike or inflict any act that causes injury to the Foreign Domestic Helper
  • • If an employer or a spouse passed away, the employer or the spouse or beneficiaries should report to the Immigration Department for the purpose of verifying the status of the new employer of the Foreign Domestic Helper
  • • The employer must obtain approval from the Immigration Department if the maid wishes to terminate her services, or vise versa to get the Check-out memo.
  • • Employers who want to take the maid to work in overseas are required to inform the maid's embassy in Malaysia.
  • • Employers who have been given permission to employ a maid, but failed to comply with the conditions stipulated by the Immigration will be blacklisted.

      1. Why do we need to interview the domestic helper before we confirm the maid?

    • Interviewing a domestic helper is a crucial task in your quest for a trustworthy and capability of a maid yet during the interview, you will be able to assess the domestic helper’s communication skills and motivation. This process is difficult to outsource as it all depends on your choice of candidate and intuition.
    • We recommend you to personally interview all shortlisted candidates via Phone or skype / WhatsApp to see face-to-face conversation with the applicants before you confirm as you are employing the domestic helper to take care of your family and your home.

      1. How to Handle Domestic Helper Problems?

    • Setting up a positive relationship with your domestic helper is important. Remember that your domestic helper comes from a very different cultural and social background.
    • What is normal for you may not be for her, if you discuss the problems with your domestic helper, make sure she does not feel offended because this will probably not lead to solving the problem effectively. If you are angry, cool down before you discuss things with her. Sit her down with no distractions and talk things through. And make sure you are both clear about the way forward.

      --> Unsatisfactory work

    • Problem:

      Your domestic helper’s work does not meet your expectation with how you want things done around the house.

    • Solution:

    • • Talk to her directly about your preferred methods.
    • • Ask her why she is doing it differently and together come to an agreed way of doing it.
    • • This way you start building a relationship of trust and respect. Perhaps you realize that her way is better or she realizes that your way saves her time.
    • • It might be uncomfortable at first, but it will benefit your relationship and you’re household in the long run.

      --> Forgetful

    • Problem:

      Your domestic helper struggles to remember the tasks assigned to her.

    • Solution:

    • • After giving instructions to your domestic helper, ask her to repeat them in her own way so that she knows what to do.
    • • Make sure your instructions are very clear.
    • • Much better is to write down a list of tasks and go through them together.
    • • Doing household duties and handling the baby / children / elderly may lead to distractions so also ask her why she was unable to do the tasks. This will create a better understanding and considerably less frustration.

      --> Using phone during work

    • Problem:

      Your domestic helper uses her mobile phone during the day and you are worried that she does not pay attention to your baby / children while she does this.

    • Solution:

    • • When talking to your maid explain your concern, why it is important for you that she needs to focus with your kid during working hours.
    • • Discuss and remind about the phone usage which is both mutually had been agreed by you and the maid.

      --> Disregard for work

    • Problem:

      Your domestic helper doesn’t do household chores properly or completely on purpose.

    • Solution:

    • • If you find your domestic helper purposely not washing the dishes, cleaning furniture, or leaving work undone, talk to her about it.
    • • Perhaps there is some miscommunication or an issue that needs to be resolved. However, she continues to not work on purpose and does not achieve the household chores properly, you might consider informing the Agency to provide counselling and assess how to settle the issue accordingly.

      --> Doesn’t take initiative to do the work

    • Problem:

    • Even though you find your domestic helper hard working and dedicated, you might want her to take more initiative. That’s why you want her to enterprise more so that she does not get stuck to her daily schedule.
    • Supervising, motivating and guiding a domestic helper is a challenging task. If you are frustrated by her lack of independence, take action earlier rather than later. The longer you wait, the more complicated it will become to change established behavior and routine.

    • Solution:

      • In order to successfully manage your domestic helper, you need to assess her current independence.

    • Does she take initiative when cooking, but not when it comes to cleaning or vice versa?
    • Does she do things in her own way when you are not present?
    • Each situation will require a different action plan, but we have created a list that will help you manage how she takes initiative.

    • • Give her time to get used to your style of managing and your household dynamics.
    • • She should use the first weeks, perhaps even a month, to get to know you and your family’s preferences and expectations.
    • • She needs to find the right balance between taking her own initiative based on her training and your expectations.
    • • Whatever you do, give her space
    • • Administering may be necessary for the beginning, but if you overdo it, your domestic helper could feel uncomfortable and unhappy with her work.
    • • Talk to your domestic helper to ensure your instructions are clear
    • • Even if you want her to work autonomously, she will still have to follow certain instructions.
    • • You need to tell her clearly and explicitly your family preferences, rather than expect her to figure it out.
    • • What may seem normal to you is probably not to her.
    • • You might even have to tell her your household’s hygiene habits, if you want her to keep on what you were used to do before, be clear when you want her to follow your instructions and when she can decide on her own.
    • • Give her a schedule of weekly and daily tasks with priorities clearly listed.
    • •Prioritize the duties for her in case she cannot finish them all due to unforeseen circumstances.
    • • Help her to also create her own schedules
    • • Allow her to make adjustments the longer she works for you. She may find a different schedule more efficient, especially as duties will change as your children grow and she will be able to handle them independently.
    • • Accept that she won’t be perfect at everything
    • • Nobody is perfect. Do talk to her so that your expectations are well explained.

    • With this list, you should be able to improve your domestic helper attitude and enable her to take more initiative and efficiency. However, if you continue to be dissatisfied with her progress, talked to her about it.
    • Most employers are looking for a domestic helper who takes initiative and who can work independently. Even if they have worked for other families, it doesn’t mean that your expectations of her independency are the same.

      1. How to Report Foreign Workers who have absconded?

      The employer must be present at the relevant Immigration Office to submit the following documents to cancel the Foreign Domestic Helper’s Visa.

      1. • Letter of application to cancel the visa of the foreign worker who has absconded.
      2. • Copy of employer’s identity card / passport
      • • Copy passport of foreign worker who has absconded
      1. • Foreign Worker Abscondment Report Form issued by the Immigration Department of Malaysia
      2. • Certified copy of Police Report
      3. • Foreign Domestic Helpers who have absconded will be blacklisted.
      • • Employers are required to pay bail on personal bond based on the rates that have been signed during the application.
      • • Must submit all the above documents to Philippine Embassy/ Philippines Overseas Labour Office (POLO) for their records and further notice.

      1. FYI: If the employer fails to report to Immigration Office, the foreign domestic helper is still considered under the employment and the employer is still responsible for the maid.

      2. How to do Check Out Memo Application

      The Check Out Memo is issued to foreign domestic helpers to facilitate returning to her country of origin.

    • In order to apply for the Check Out Memo,the employer should submit the required documents:
    • • Application form for Check Out Memo
    • • Original passport of the maid.
    • • Confirmed flight ticket.
    • • The employer should ensure that the maid returns to her country of origin via the requested exit point on the date stipulated in the Check Out Memo.

    • FYI: If the employer fails to apply for the Check Out Memo, the foreign domestic helper is still considered under the employment and the employer is still responsible for the maid.

      1. How to renew the maid Visa?

    • • Employers must ensure that the maid undergoes a medical examination at any clinic that is registered with FOMEMA Pte. Ltd. and certified Fit-To-Work.
    • • Visa renewal of a foreign domestic helper can be made at the Immigration Office (MYEG) within three (3) months before expiry date.
    • • All matters pertaining to maid visa application must be submitted by the employer, unless the renewal of the Foreign Domestic Helper can be handled by licensed agencies.

    • FYI:
    • • Incomplete application will be rejected.
    • • Payment for the renewal includes the levy, visa fees according to the nationality of the Foreign Domestic Helper,

    • Documents required:
      1. Foreign Domestic helper's passport must be avlid a least 12 months.
      2. Adequate payment in the form of bank draft or money order should be made payable to the Director General of Immigration, Malaysia or the Director of Immigration Affairs (where payment is made). Name and address of the employer must be written on the back of the bank draft.

      1. What should I do before I send my Foreign Domestic Helper for Vacation to her country of origin?

      These are the important things to know before you send your foreign domestic helper for vacation leave to Philippines. And the employer must inform the agency to check the forms and required documents are complete in accordance with the Immigration Department of Malaysia and Philippine Overseas Employment Administration (POEA).

      1. • Employer must make sure that the visa of the maid is valid till the date of her return to Malaysia.
      2. • Maid's passport must be valid at least 6 months from the date of travelling.
      • • Philippine Embassy Employment Contract (POEA) must be valid and apply for Overseas Employment Certificate (OEC)
        1. • The employer must provide a copy of return flight ticket of the maid.

            1. What should I do if my Foreign Domestic Helper did not return to Malaysia?

            The employer must be present at the Immigration Office to submit the following documents to cancel the maid Visa.

            1. • Letter of application to cancel the visa.
            2. • Copy of employer’s identity card / passport
            • • Passport copy and latest visa of the maid
            1. • Foreign Worker Abscondment Report Form issued by the Immigration Department of Malaysia
            2. • Certified copy of Police Report
            3. The maid who did not return in Malaysia is considered absconded and will be blacklisted.
            • • Employers are required to pay bail on personal bond based on the rates that have been signed during the application.
            • • Must submit all the above documents to Philippine Embassy/ Philippines Overseas Labour Office (POLO) for their records and further notice.
